In the analogue era, before dictation became a simple data file, recordings often had to go a long way.. With Digital Technology, sending cassettes is a thing of the past. You can dictate the document in any location you wish and transmit the speech files immediately to the office from your laptop via data or network card. The dictation machines are smaller and easier to use. As they don’t have linked components they are shakeproof. Parts of the dictation may be inserted or deleted after dictating without impacting on the rest of the dictation. Forwarding and rewinding is no longer necessary – simply jump from one dictation to the next or to the next jump/index mark which you have pre-set. It’s time-saving and very user-friendly!

Digital dictation not only signals an end to the cassette but it can also boost your workflow efficiency. Before creating a new dictation the all important workflow information can be defined, ensuring that subsequent processing is smooth, seamless and cost-effective

Workflow features include the automatic allocation of file folders, dictation type (for example letter, memo), dictation group (i.e. department), priority (for processing), secretary (i.e. with secretary pools), dictation identification (i.e. as file number). Dictations can be sent to the typing pool instantly at the touch of a button, saving both time and effort. Tapes don’t need to be transported from A to B any longer, as the computer application transfers data via the network or the internet.

Digital technology can boost independence and flexibility. Mobile recorded dictations can be transferred to the typist as soon as they are completed, to enable them to be transcribed for when you return to the office. Alternatively the completed dictations can be returned to you via email.
Nothing can be lost or forgotten. as everyone can trace the status of outstanding or completed dictations. There is the option to deploy top level process security, compliant to certification, by using an RFID or barcode scanner. In this instance the dictation is already allocated to a specific file during recording. to exclude the risk of transposed file numbers or other mistakes.

Thanks to the high sound quality and the direct data transfer to the PC voice recognition software can be used, helping save more time and money. Moreover the info function allows users to record additional instructions for the typist without interrupting the recording or the voice recognition.

Switching over to digital dictation is straightforward. It is possible to integrate the technology into existing Windows and Citrix IT structures (Linux in preparation). Thanks to a software developer kit, the DigtaSoft software can also be incorporated into any software environment (e.g. medical software/HIS/RIS or as solutions for a lawyer’s office).
